Volunteer Task Descriptions
Jury
Three member committee consisting of:
- Chair
- Vice-chair
- Recorder
Tasks:
- The jury judges protests related to conformity with the Regulations, team disputes and penalties
- Jury members make decisions regarding start times and finish times, weather-related delays, penalties, awards etc.
- Decisions are made by majority rule
- The jury also decides cases not specifically covered by the regulations
- The jury will be present throughout scrutineering and the event (6 day commitment) and will meet at a posted location every day
- They will be responsible for sealing batteries at the start on June 22
- They may do spot checks throughout the event
- The jury receives input from observers, scrutineers, team members and HQ staff
- The Recorder will act as Timing Official and will record start and finish times of vehicles as well as any penalties they have received.
- He/she will also track distance traveled and other vehicle information in order to generate statistics for each team. These stats in turn will be used to determine awards.
- A laptop computer will be needed to carry out this task
- If funding is available, food and accomodation costs (where required) will be covered for jury members.
Scrutineers
- The main task for scrutineers is to inspect cars to verify their compliance with the Rules and Regulations (before the Challenge begins). Scrutineering will involve inspection stations for sizing, body, electrical and mechanical systems, plus outdoor dynamic tests to verify handling and braking performance.
- Scrutineers may also carry out spot checks for regulation compliance throughout the event.
- Scrutineers should be professional engineers (mechanical or electrical) with some understanding of the design and operation of solar cars. At least one scrutineer should have expertise in batteries.
- All scrutineers need to be familiar with the Regulations.
- Instructions for scrutineering will be distributed to scrutineers and teams prior to the event. They will also receive copies of specifications for each car before the event.
Observers
- Observers travel with each team to alert the Jury to possible infractions of the Regulations and to help teams deal with unforeseen events.
- An Observer has the authority to warn teams when they believe a rule infraction is imminent.
- Observers may not interpret Regulations or give advice on race strategy. They record their observations in a log and pass them on to the Jury. Observers will also record start and finish times for their vehicle.
- One Observer will travel with each team, likely in the Chase vehicle. Persons who are acting as Observers for more than one day will be rotated in their team assignments at least dail
- Observers will ensure that the correct ballast is with the vehicle at all times.
- Observers must be familiar with the Regulations. They will be trained and tested by HQ before the event.
- If funding is available, food and accommodation costs (where required) will be covered.
Start-Line Officials
- Start-line officials will control movement of vehicles at the start-line according to each team's official start time.
- They will require flourescent vests for visibility.
- They also will be responsible for co-ordinating signage at the start-line.
- At least two start-line officials will be located further along the route where they will control the entrance of the support vehicles onto the race route.
Finish-Line Officials
- Finish line officials will control movement of vehicles at the daily finish line.
- Officials will also be needed at trailering-in points. (e.g. Cardinal, St. Eustache).
- They will assist in tracking the time each vehicle arrives and will be responsible for co-ordinating signage at the finish-line.
- They will require flourescent vests for visibility.
Technology Fair Staff
- Technology fair staff will assist in setting up and staffing the Technology Fairs in their community.
- They will assist exhibitors in setting up their displays, and answer visitor questions.
- At least one volunteer will also be responsible for picking up the rented tables for the technology fair.
General Volunteers
- Additional volunteers will be needed to assist with putting up signs along the route, directing traffic and help take care of unforeseen problems, in particular when the vehicles are coming into Toronto and Montreal.
